Institution and staff

Set your school's identity once and let every timetable inherit it, and keep your teachers' email addresses in one place.

Some details belong to your school rather than to any one timetable — its name, its logo, its website. Setting them once saves entering them again for every timetable you create.

They live on the data screen under Configuration → Institution, and only the timetable's owner can see them.

Details every timetable inherits

The Profile tab holds your account-level identity: institution name, website, logo, and the defaults new timetables start with, such as a timezone and a bell-times template.

Inheritance works the way you would hope: a timetable that has its own value uses it, and a timetable that does not falls back to the account. So one timetable can carry a departmental logo while the rest show the school's, without either being copied around by hand.

You can see it working on your dashboard — a timetable with no logo of its own shows the account logo on its card.

The staff directory

The Staff directory tab keeps your teachers' email addresses in one place, so that the same person is not re-entered for every timetable. It is available on the higher plans.

It works by matching this timetable's teachers against a pool of people held at account level. Click a teacher to set or update their address; add people directly; or import a spreadsheet of names and addresses.

Matching is by exact name. A teacher recorded as "A. Kaya" in one timetable and "Ayşe Kaya" in another is two different people as far as the directory is concerned.

That is worth knowing before you import: consistent naming across timetables is what makes the pool useful. The tab tells you how many of this timetable's teachers have an address, and can show you only the ones still missing, which is the fastest way to finish the job.

You can also remove pool entries that no longer correspond to anyone teaching.

What the addresses are for

Once every teacher has an address, the timetable link can be emailed to all of them at once. That is the main reason to fill the directory in — see Creating and sending links, which also explains what those emails do and do not grant.
